Human Resource Management System


Applicant Tracking/Recruitment. This modul manage all applicants and employee candidates within the company. The objective of this modul is to have a tracking or searching facility for the best employee candidates for each vacancy within the company from the applicant database. Applicant searching can be done by their personnel data or qualifications, such as age, gender, religion, GPA, education level, computer skill, language skill, or other applicant qualifications. Based on information in this modul, the HR Department will minimize their efforts in having the best employee candidate for the company.

Personnel Administration. Employee administration are managed in this modul. Starting from the New Hire process (process of hiring new employee from the applicant database or other source). Beside employee personnel data, other information also will be kept, such as their position, grade, job and work unit. Position attribute represents the job title of an employee. Grade attribute represents the employee level ranking within the company. Position examples are Marketing Staf, Operation Staf, IT Head, Operation Manager, Vice President, CEO, etc. Grade examples are Grade 1, Grade 2 or Grade A, Grade B or Staf, Junior Manager, Senior Manager, Director, etc. The position and grade attributes can be linked to payroll calculation within the company. Both of them are user defined. Some company allow their employee to have more than one position in the company. This is where we use the job attribute in the application. This modul has covered the possibility if there are any employee having two or more positions at the same time. Organization structure (such as Business Unit, Directorate, Division, Department or other Work Unit) also recorded in this modul. The purpose of recording this organization structure or work unit is for summarizing information on each work unit level. These information examples are Total headcount by Department, List of Salaries by work unit, etc.

Payroll Management. The payroll modul is the main reason why a company would like to have an HR application in the company. Our payroll modul offers accurate and flexible payroll management with unlimited paycodes, allowances and deductions. Payroll setup is where we can manage those paycodes, allowances and deductions within the payroll. These paycode can be set for each employee, each position, each grade or each work unit. Payroll processing is easy. What we need to do is to set the payrun number first and then the payroll process is just one click away. If there are any salary increase for one or two employees, of course it is never been a problem for any HR product anywhere. But the question is, what if the salary increase involve all employees? What if you have thousand of employees in your organization? Do you need to update the increase one by one? Of course it will takes a lot of your time. We do have a way to cover this. Either by loading a batch of salary increases to the application, or by loading a batch of percentage increases only. Just let us know how you want to do it, and we will tell you how it can be done. As you already know, one of our goals is to minimize working effort of HR staff in your HR Department.

HR Administration. For HR modul other than Applicant, Personnel and Payroll Management, usually it will be covered in this HR Administration modul. Those modul are Leave Booking management, Time Attendance, Insurance Management, Employee Training or HR Development, etc. Leave Management usually involve employee leave booking activity and leave entitlement. Time Attendance usually depends on your absence machine records and upload them to the database for Time Attendance reporting. Insurance Management usually register employee insurance type and their registration numbers. Employee training administration objective is to register what are the training and skill development has been given to the employee. If your HR Department require another modul or features from the above mention, our team will be very happy to follow up the requirement.

Employee Self Service. Employee Self Service is an HR site where all employees can log in and query their personnel data needs. They can update their personnel data themself, query their leave entitlements, make their leave bookings, check their leave bookings whether already approved, check their overtime, query their subordinates time attendance, search for candidates for their own Department, etc. Employee Self Service is not part of the HR application. This is a separate site (usually in the form of HR Intranet). It is built separately apart from HR confidential data in HR database. We will build this site based on your requirement only, in order to pursue your HR Department objectives.

Data Download Tool. For the purpose of record checking, validation or custom reporting, this tool provide a feature for downloading data from the database to csv formats, makes them easy to be formated using Ms Excel.

Reports. Each modul already provided with standard reports. Personnel Administration report examples are "List of Employee by Department", "List of Probation Employee", "List of Termination Employee", etc. Payroll Management report examples are "List of Salary Transfer by Department", "List of Salary Transfer By Bank", etc. We also provide report for printing in pre-printed form, such as payroll slip, overtime slip, etc. If there are any specific custom required reports, we will provide them based on your user requirements.
